How we protect your athlete

RosterHQ publishes rosters, photos and game stats for school athletics — which means we handle information about children. Here is exactly how that works, in plain English.

Nothing is public until a guardian says yes

When a coach loads a roster, every athlete on it is hidden. Their name, photo and stats do not appear on any public page. A parent or guardian receives a link and chooses what may be shown: everything, a specific subset, or nothing at all.

Athletes under 13 are private by default and stay that way unless a guardian explicitly opts them in. A hidden athlete is absentfrom the page — not greyed out, not listed as “name withheld”. There is nothing there to notice.

You can change your mind at any time

The same link lets you narrow your choices or withdraw completely. Withdrawal takes effect immediately — public pages update the moment you submit it, including pages that were already loaded on someone else's phone the next time they refresh.

We collect as little as possible

Name, jersey number, position, class year, and game statistics. Optionally a photo, height and weight, if a guardian allows them. Date of birth is optional and used only to apply under-13 protections.

We do not collect addresses, phone numbers for athletes, student ID numbers, Social Security numbers, grades, or health information. Roster photos submitted for import are used once to read the names and then discarded.

No ad networks. No tracking. Ever.

Sponsors on our pages are a logo, a line of text and a link, placed by the school. There is no third-party ad tech, no behavioral targeting, no cookies following anyone around the internet, and no data of any kind shared with a sponsor.

We count how many times a sponsor's logo rendered. That count records the placement, never the person viewing it. A sponsor is also never placed next to the profile of an athlete under 13.

Who can see what

A school's coaching staff can see their own athletes. They cannot see any other school's. Volunteer stat keepers see only the team they were given a PIN for, and only the stat screen. Staff access to consent records is logged.

Deletion

You can ask us to delete an athlete's record at any time and we act within 30 days. Historical box scores may retain an anonymous entry so team totals stay correct, with no name attached.

Where the rules come from

We follow the amended Children's Online Privacy Protection Act (COPPA) rule, which requires verifiable parental consent before collecting or publishing information about children under 13. Because we also serve independent training programs and place sponsor logos, we do notrely on schools consenting on parents' behalf — we ask guardians directly, every time.

We also operate under school direction for school-provided data (FERPA), and never repurpose it for other commercial ends.

Start with your athlete's coach or athletic director — they can resend your consent link, which includes a deletion request form. Every request is answered by a person.
